Space Allocation Policy - 2006
Academic Staff
Full time Level B and above = office.
Part time Level B and above (>50% load) = an office.
Full time continuing Level A = office.
Full time fixed term Level A – a share office or an office if available.
Part time level A = carrel or a share office if available.
Casual >20h/week = carrel or share carrel
Casual <20h/week = share carrel or OUD lab
Academic Visitors
Visitors from overseas and interstate will be allocated an office if available;
otherwise a share-office or carrel. Occupancy may need to be reviewed during the visit period and
the visitor may be required to share or move to a carrel. Visitors from the Sydney metropolitan
area will be provided with a carrel or share office if available. Visitors from UNSW will be
referred to a hot desk area or may book a consultation room.
Former PhD students (no longer enrolled), who are waiting for submissions results and doing
some casual work can stay at their desks only if available and upon their supervisor request.
Alternatively they can be granted access to OUD lab
Adjunct Academic
Some adjuncts are full time in the school and should broadly have the same seating
as visitors. Adjuncts who are employed elsewhere in Sydney giving lectures, should book a
consultation room through facilities@cse.unsw.edu.au.
Research Assistants
Full time = carrel.
Part time = hot desk, shared desk, or OUD lab
Note: research assistants are general staff. Research associates come under academic
staff.
Research PhDs
Full time = carrel as near as possible to supervisor.
Part time = share a carrel or hot desk.
Visiting PhD Students
Hot desk or OUD lab
Undergraduate Students (with special permission)
Hot desks. However, undergrads involved on projects that are important to the school, such
as Robocop, may be allocated desks.
Other General Staff
Office, share-office or carrel, depending on the role.
These other general staff are occupied in the running of the School and fully occupy defined
areas, which would not be available for academic or teaching related general staff, research staff
or research postgraduates.
Space Management.
Hot desks
If possible, there will be some desks on each floor available as hot desks; i.e., a
desk which no individual or group owns and is available as above. However, it is likely that no
such desks will be available.
Multiple Use of Desks
Desks have to be left tidy for other people to use when the occupant is not there. If a desk
occupant is going to be away for a few weeks, they or their host/supervisor should notify the CSE
Facilities Officer. All staff and students should expect other people to use their desk when they
are not there.
Multiple Use of Offices
All offices will be available for use by visitors and other approved staff during staff
absences.
Staff on SSP or LWOP should box up all their belongings (or at least tidy up and move belongings
to one side) and advise the CSE Facilities Officer.
Visitors returning to home institution, students completing their thesis or research staff
ceasing should leave space allocated clean (supervisors or hosts are responsible).
CSE takes no responsibility for documents, equipment and personal belongings left after the
departure date.
Administration
The Facilities Officer is responsible for keeping track of space usage and anticipated
usage. Space is allocated after the New Staff Notification Form is submitted

In the first instance the CSE Facilities Officer will determine space allocation. Appeals
regarding space will be referred to Achim Hoffmann for deliberation.
