CSE Assets Reclamation Policy

To whom does this apply?

PhD students, and
Masters by Research students, BUT
Only those who have assets, such as a desk, carrel and/or computer allocated to them
Such students are in specific programs, and we can determine whether a student is in one of these by the program code.
The asset list is available from the school’s Asset Database (see John Shepherd) and/or the nodeinfo database maintained by CSG.

When does this apply?

When the student has outstanding assets, AND
When the student has failed to re-enrol by the census date in either of session 1 or 2, or
At the census date in either of session 1 or 2 when a student is “external” and has been “external” since before the end of the previous session (S2 or S1)
We can determine the enrolment or “external” status of a student from NSS.

What happens?

Three emails are sent to the student, and separately three emails are sent to their supervisor, at two-month intervals, starting on the day determined above. These emails advise that:
The computer allocated to the student is to be recycled, i.e. that its hard disk will be reformatted and the computer allocated to another user, and
The desk and carrel space allocated to the student will be reclaimed. Any personal possessions will be removed. Any stationery will be recycled. All other material in the carrel, on the desk or in the drawers will be discarded.

What happens next?

We wait two months after the last email.

What happens after that?

CSG:
Liberates the computer from the desk and transports it to CSG.
Where possible, removes the hard disk and store it away for TWO YEARS. Installs a replacement hard disk in the computer.
Reformats the hard disk now in the computer, and allocates the computer to another user.
Facilities:
Cleans up the carrel and desk, and makes it available to someone else. Any stationery is recycled. Any personal possessions of the previous “owner” are removed. Everything else is discarded.
